Property Administrator – On-Site / In-Office

Essential Functions and Responsibilities

  • Respond to tenant needs in a timely manner
  • Provide full administrative support, including phone support, typing reports, filing and distribution of correspondence
  • Schedule and coordinate meetings/special events, as requested
  • Assist in lease administration activities, including tenant contacts and insurance information; generate reports
  • Prepare and coordinate bid proposals, service contracts and approved invoices. Assist in bidding process and assist Property Manager(s) in their efforts to ensure compliance with LPC requirements
  • Pick up and deliver mail as necessary
  • Order office supplies
  • Maintain “Nightly Pass Down” logs
  • Create and maintain property files
  • Assist in creating and executing Tenant Events
  • Update staff meeting notes
  • Provide administrative support to Property Manager/Senior Property Manager
  • Track, code and pay invoices to minimize variances. Utilities are critical to track and pay.
  • Monitor & schedule the building conference rooms
  • Tenant billbacks
  • Maintain tenant manual and emergency manual updates & distribute to new tenants.
  • Input Meter Reads which are provided by engineering
  • Monitor Work Order System, Angus
  • Assist in maintaining ESG certifications: Well Health, Wired Score, Energy Star
  • Track Fitness Center Waivers and supplies
  • Monitor and input vendor and tenant insurance information

Key Competencies

  • Accounting Capabilities/Knowledge of Reporting
  • Knowledge of MRI, or similar software platform
  • Professional attitude, dress, and office etiquette
  • Strong communication skills, both written and verbal
  • Proficient in Outlook, Excel, Word and Power Point
  • Ability to remain focused on client/tenant experience
  • Strong organizational skills
  • Team player
  • Great energy and attitude

Education, Experience

  • High School Diploma – College Degree preferred
  • Compensation is commensurate with experience.
