Reports to: Property Manager / Senior Property Manager
Essential Functions and Responsibilities
- Responsible for providing energy and support for building tenants, owners and partners.
- Assist in lease administration activities, including abstracting leases and keeping our databases current
- Ensure all property files are prepared and maintained in an orderly manner, including leases, contracts and certifications.
- Prepare and coordinate bid proposals and service contracts
- Ensure invoices are processed for accounting
- Coordinate tenant move ins and move outs, including furniture delivery and pick up
- Oversee work order and purchase order systems
- Ensure Certificates of Insurance for tenants and vendors are up to date and complete
- Oversee the processing of management and maintenance staff hours, expense reports, check requests for review and approval
- Assist supervisor with aspects of annual budgets preparation and monthly financial reporting as well as preparation of bank deposits
- Participate in performance oversight of all service contractors who perform contract services
- Assist with bid process of contracted services
- Prepare lease summaries of new tenants
- Collect rent and handle minor accounting issues
- Draft correspondence on various matters pertaining to property management
- Prepare monthly reports
- Work on special projects under supervision of Property Manager / Senior P.M.
- Work with engineering staff, vendors and service providers
- Conduct routine property inspections and implement improvements
- Assist in answering tenant service calls and creating a tenant experience

Education, Experience
- High school diploma/ GED equivalent; bachelor’s Degree preferred
- At least 2+ years of commercial real estate property management or related experience
