Assistant Property Manager – On-Site / In-Office

Reports to: Property Manager / Senior Property Manager

Essential Functions and Responsibilities

  • Responsible for providing energy and support for building tenants, owners and partners.
  • Assist in lease administration activities, including abstracting leases and keeping our databases current
  • Ensure all property files are prepared and maintained in an orderly manner, including leases, contracts and certifications.
  • Prepare and coordinate bid proposals and service contracts
  • Ensure invoices are processed for accounting
  • Coordinate tenant move ins and move outs, including furniture delivery and pick up
  • Oversee work order and purchase order systems
  • Ensure Certificates of Insurance for tenants and vendors are up to date and complete
  • Oversee the processing of management and maintenance staff hours, expense reports, check requests for review and approval
  • Assist supervisor with aspects of annual budgets preparation and monthly financial reporting as well as preparation of bank deposits
  • Participate in performance oversight of all service contractors who perform contract services
  • Assist with bid process of contracted services
  • Prepare lease summaries of new tenants
  • Collect rent and handle minor accounting issues
  • Draft correspondence on various matters pertaining to property management
  • Prepare monthly reports
  • Work on special projects under supervision of Property Manager / Senior P.M.
  • Work with engineering staff, vendors and service providers
  • Conduct routine property inspections and implement improvements
  • Assist in answering tenant service calls and creating a tenant experience

Education, Experience

  • High school diploma/ GED equivalent; bachelor’s Degree preferred
  • At least 2+ years of commercial real estate property management or related experience
